The practical capabilities behind it are the ones an events and venue-sourcing agency accumulates: corporate venue sourcing, venue procurement, supplier sourcing and negotiation, corporate event management, conferences and meetings, group accommodation, event logistics, destination management, supplier relationships, event budgeting and event delivery.

What is different here is the unit of work. Eureka’s core business handles events. Strategic Meetings Management handles the programme those events belong to — how requirements arrive, how they are bought, what gets recorded and what procurement and finance can see afterwards.

Most organisations of any size have genuinely good procurement processes for their major expenditure lines. Categories are owned, suppliers are reviewed, contracts are managed, and someone can tell you what is being spent and with whom.

Meetings and events frequently sit outside that. Not because anyone decided they should, but because the spend arrives in small, urgent pieces from departments that each have a legitimate reason to act quickly. By the time it is visible, it is an invoice.

We kept seeing the same pattern from the supply side: the same organisation approaching us three separate times in a year, through three different departments, for three events at broadly similar venues, with nobody internally aware that the other two requests existed. That is not a failure of the people involved. It is a structural gap.
