Most organisations we speak to are not sure how much of their meetings and events activity they can actually see. They have a rough figure for spend, a strong sense that the same venues keep appearing, and no reliable way to prove either. That is a normal place to start.

An SMM Review is a working session, not a presentation. We go through how requirements currently arrive, what happens to them, who gets involved and at what point, and what information exists at the end. The output is a clear view of where you sit and which two or three changes would be worth making first.

What a review looks at

  • How meetings are commissioned — who raises a requirement, and what they do next.
  • Sourcing — how venues and suppliers are currently found and compared.
  • Procurement involvement — at what point, if any, procurement sees a requirement.
  • Suppliers — which venues and suppliers are used repeatedly, and on what basis.
  • Contracts — who signs, what terms are accepted, and where the contracts are held.
  • Approvals — what has to be authorised, by whom, and against what thresholds.
  • Available spend data — what exists today, in what form, and how reliable it is.
  • Reporting — what anyone currently receives about meetings and events activity.
  • Event delivery — who runs the events themselves, and whether that is working.
  • Opportunities for centralisation — where a single route would genuinely help, and where it would not.

Who usually takes part

The most productive reviews involve someone who holds the commercial question and someone who sees the day-to-day activity. In practice that often means procurement alongside an events, workplace or executive support lead, and sometimes finance.

It works perfectly well as a single conversation with one person. It just tends to surface more when both perspectives are in the room, because the gap between them is frequently where the problem sits.
